01 · Getting Started
First launch
When you open StepGrab for the first time, a setup wizard guides you through everything:
- Choose your language — English, German, French, Italian, Spanish, Chinese, Japanese
- Sign in with Apple (optional) — unlocks more free recordings
- Grant Screen Recording permission — required for the app to work
- Choose a save folder — where your exports will be saved
- Select your export formats — GIF, PDF, MP4
02 · How to Record
Record a workflow in 5 steps
- Select a source Click "Select Window" and choose the window, app, or display you want to record.
- Start recording Click "Start". The menu bar icon turns red to show you're recording.
- Click through your workflow Every mouse click automatically captures a screenshot. No manual action needed.
- Stop recording Click "Stop" when you're done.
- Export Click "Export" to save your files. Your export folder opens automatically.

Settings
Tailor StepGrab to your workflow. Every setting below lives under Settings in the app.
General
| Language | Change the app language (7 languages available) |
| Appearance | Light, Dark, or System |
| Show Dock Icon | Show or hide the icon in the macOS Dock |
| Launch at Login | Automatically start StepGrab on login |
| Show Floating HUD | Show a small overlay window while recording |
| Show HUD Preview | Display thumbnail previews inside the HUD |
| HUD Corner | Position the HUD: top-left, top-right, bottom-left, bottom-right |
| Save Location | Choose where exported files are saved |
| Export Formats | Enable GIF, PDF (Pro), MP4 (Pro) |
File Naming
| File Prefix | The name prefix for exported files (default: "StepGrab") |
| Include Window Title | Adds the recorded window's name to the filename |
| Include Date | Adds the date to the filename |
| Date Format | Choose from: 2026-04-18, 18.04.2026, 04-18-2026, 2026_04_18 |
| Include Time | Adds the time to the filename (format: HH-mm-ss) |

Design
| Arrow Color | Pick the color of annotation arrows (default: red) |
| Arrow Line Width | Thickness of arrows (1–6 pt) |
| Arrow Length | Length of arrows (30–160 pt) |
| Show Cursor | Show or hide the mouse cursor in screenshots |
| Hide Desktop Icons | Hides Finder icons during full-screen capture |
| GIF Frame Duration | Time each frame is shown in GIF/MP4 (0.5–5 seconds) |
05 · Permissions
Screen Recording permission
StepGrab requires Screen Recording permission to capture your screen.

Not granted yet? Click "Open Settings" in the app — it takes you directly to macOS System Settings → Privacy & Security → Screen Recording. Enable StepGrab there, then relaunch the app.

Tips
Undo a step
Click the undo button to remove the last screenshot.
Delete a specific step
Right-click a thumbnail in the preview strip.
Discard & start over
Click "Discard" to clear all steps.
New Recording
Click "New Recording" to export and immediately start fresh with the same window.
